As no-code tools continue to gain popularity, there certainly isn’t a shortage of project management tool options.  And, when faced with a seemingly unlimited amount of options, it can feel like a lot of pressure to select the *perfect* solution.

Well, before we dive in, let’s get one thing straight. It’s nearly impossible to find a project management solution that ticks all your boxes. BUT, we can help you choose the one that’s best, depending on your organization’s needs. When you googled “Best Project Management Tools 2023😉 , you probably saw 2 tools coming up in every single search: Asana & ClickUp. Here at SMV, we work with both of these tools extensively and they each have their own set of pros and cons. So which tool is best for you? Let’s get into it.

                                          Asana

 

Asana is the OG project management tool on the market. It gained quick popularity and set the stage for the suite of project management tools that we now have the opportunity to choose from. And with all the shiny new tools on the market, Asana still lives up to the hype in a big way. So, why choose Asana?

1. Polished interface with no (hardly any) glitches – Asana’s interface makes it incredibly user-friendly, especially for those who don’t consider themselves to be tech-savvy. While Asana does boast more complex features, it’s super simple to login as a first-time user and input some tasks. And with a technology platform that houses A LOT of data from across the world, Asana consistently runs smoothly with little to no system glitches. You’ll never have to worry about losing data, updates not syncing properly, etc. Huge win!

2. Workflow Builder – Asana has native automations (rules) that you’re able to build into your projects. An example of one of these “rules” might be: When status changes to “In Review”, change assignee to Mary (Manager). Incorporating these “rules” can make your projects run much more smoothly with less manual effort from your team members. Asana makes it easier than ever to bake these in using the Workflow Builder feature. No need to fear automations anymore!

3. Portfolios – If you need high-level reporting for executives, managers, etc., Asana’s Portfolio feature is a great solution! In short, Portfolios are a collection of various Projects. Within Portfolios, you’re able to see project status updates, dashboards, and workloads of team members at a glance. Let’s say you want to see how your Marketing department is performing as a whole. This is a perfect opportunity to create a Portfolio! Bring in all your Marketing projects, see which projects are on track vs. off track, and see which team members have the bandwidth for more work.

Sounds pretty great, doesn’t it? Before you make your ultimate decision, let’s dig into what ClickUp has to offer.

ClickUp launched a few years after Asana, but quickly caused quite a stir in the project management space. At first glance, ClickUp may seem a bit less user-friendly than Asana but once you take some time to get acclimated, this tool really packs a punch with all its amazing features. Let’s take a closer look.

1. Robust Custom Fields – ClickUp’s custom field library is a project manager’s dream come true. There are so many different field types you’re able to take advantage of, not to mention how colorful and visually appealing they can be. Once your custom fields are created, you can group your tasks, filter down your tasks, and report on your tasks based on those custom fields.

2. Docs w/ ability to easily create actionable tasks – Sick of using Google Docs or Microsoft to keep docs, notes, etc. that are related to your projects? You can kiss those tools goodbye with ClickUp! ClickUp has its own doc creation capabilities – you can connect docs to projects AND create tasks directly from those docs. Keeping all project-related information together has never been easier!

3. Everything Level – ClickUp has many levels to its hierarchy, but the most amazing one (in our opinion) is Everything Level. At the Everything Level, you can see, well, Everything across your entire ClickUp workspace. From there, you can take advantage of ClickUp’s amazing filtering capabilities to curate the collection of tasks that’s most meaningful to you. A wonderful use case for Everything Level is creating a view of all tasks assigned to me across my entire ClickUp workspace. Once that’s created, I can access that view each day to get a bird’s eye view of everything I’m responsible for and ensure that nothing slips through the cracks!

At this point, we hope it’s clear to you that Asana and ClickUp are both wonderful project management tools in their own rite.
