Virtual Assistant/Project Coordinator - Faith-Based Publishing Company

We are a small team that focuses on helping small business owners streamline and manage their day-to-day operations. We are growing and we’re looking for an additional Virtual Assistant/Project Coordinator to join our team.
 
We are looking for a dedicated freelance project coordinator who will be responsible for overseeing the operations and coordination of various projects for a faith-based publishing company. For the right candidate, there will be opportunities to work with a variety of other clients as well.
 
As a Project Coordinator, you will work directly with our clients helping them manage their operations, aligning resources, setting up and modifying internal systems, problem-solving, improving processes and performing a wide range of administrative duties. We primarily work with small and medium-sized businesses and each of our clients has a different set of needs. Most importantly, the Project Coordinator needs to have the ability to learn our clients’ businesses inside and out and take ownership of their processes. Many times our clients are going through some growing pains and need someone who can identify areas of improvement, present recommendations, and then put a plan into action.
 

DUTIES MAY INCLUDE

  • Planning and scheduling: Creating schedules, coordinating resources, and ensuring that projects are completed on time.
  • Communication: Acting as a liaison between different departments, teams, or clients to ensure that everyone is on the same page.
  • Monitoring performance: Tracking key performance indicators (KPIs) to identify areas of improvement and ensure that the company is meeting its goals.
  • Problem-solving: Identifying issues or obstacles and developing solutions to resolve them.
  • Quality control: Monitoring product or service quality to ensure that they meet the company’s standards.
  • Process improvement: Analyzing operational processes and finding ways to optimize them for greater efficiency.
  • Training and development: Providing training to employees and developing training programs to ensure that everyone has the necessary skills to perform their jobs effectively.
 

Requirements

  • Interest in working with a faith-based organization
  • Experience in publishing preferred, but not required
  • Content review & editing experience a plus, but not required
  • 2-4 years of experience working in a remote environment managing multiple clients
  • Intermediate to advanced project management and/or work in ClickUp
  • Availability 30-40 hours per week.
  • US-based with open availability during PST working hours (though some work can be done at night or on weekends). Note: Only looking for candidates who have daytime availability
  • Proven ability to solve problems creatively
  • Ability to work independently and find solutions without direct supervision
  • Ability to self-train on basics of new software and processes
  • Experience seeing projects through the full lifecycle
  • Excellent analytical skills
  • Strong interpersonal skills and extremely resourceful
  • Proven ability to complete projects according to outlined scope, budget, and timeline
 

OTHER INFORMATION

  • This is a part-time independent contractor position
  • The hourly rate for this role is $20 to $30 per hour depending on experience
